Stop Losing Leads: How AI Helps Agents Follow Up Faster and Win More Business

Most homebuyers end up working with whichever agent responds to their enquiry first. The buyer enquired about [property address or type] and their 
message says: "[paste their enquiry text]"

The response should:
- Acknowledge their specific enquiry (not a generic "thanks for your interest")
- Confirm availability for an inspection (suggest 2 time options)
- Invite a brief question or reply to understand their situation better
- Sound like it was written by a person, not a template
- Under 80 words

A realistic output: a specific, warm, 70-word reply that references the actual property, confirms inspection times, and asks one relevant question about their search. Copy, review, personalise the name, send.

Total time from notification to sent: under 2 minutes. Every minute matters.

Compliance note: Keep first responses focused on confirming interest and booking an inspection. No price claims, no market assertions, no comparative value statements in that first message.


Part 2: Scripts — What to Say at Each Stage

Speed gets you in the door. Quality keeps you there.

Script 1: Inspection Confirmation (after they book)

Write a brief, warm confirmation message for a buyer who has just 
booked an inspection at [property address] for [day/time].

Include:
- Confirmation of time and address
- One practical detail (parking instructions, entry point, or 
  what to bring if relevant)
- Invitation to contact me with questions beforehand

Under 60 words. Feels like a thoughtful message, not an automated reply.

The practical detail is the differentiator. “Street parking is easy on Wentworth — the driveway will be open” is the kind of detail that makes the buyer think the agent actually knows and cares about the property. AI prompts you to include it; you fill in the specific.

Script 2: Post-Inspection Follow-Up (same day)

Write a follow-up message to a buyer I met at an inspection today 
at [address].

They [describe their reaction — e.g., "seemed genuinely interested 
but mentioned the kitchen felt small for their family" / "were 
enthusiastic and asked about a second inspection"].

Tone: friendly, not pushy. Acknowledge what they said specifically.
Address the concern briefly or build on their enthusiasm.
Invite next steps without pressure. Under 80 words.

Reference what they actually said. AI can produce the structure; the specific detail you add is what converts this from a template into a personal message. Buyers notice.

Script 3: The 7-Day Re-Engagement

This is the message most agents never send. They follow up once, hear nothing, and write the lead off. But a buyer who went quiet on day one is often still in the market — they’re just comparing, thinking, or waiting on finance.

Write a follow-up message to a buyer who inspected [property] 
7 days ago and hasn't responded to my initial follow-up.

Tone: genuinely helpful, low pressure — open the door without 
pushing through it.
Don't assume they're still interested.
Offer something of value: a market update, a new listing that 
might suit them, or just a friendly open-ended check-in.
Under 70 words.

Sending this message puts you ahead of most of your competition with zero extra effort. That’s the math.


Part 3: The Follow-Up Sequence That Doesn’t Quit

The difference between agents who close leads and agents who wonder where they went: a system, not a one-off message.

Tone: helpful and informative. Not a sales pitch.
Under 60 words.

Touch 5 — Day 30 Prompt:

Write a long-game follow-up for a buyer contact who went quiet 
after inspecting a property a month ago.

They may have found a property, paused their search, or 
are still actively looking. Tone: friendly, low-pressure, 
keeps the door open.

One sentence that invites reconnection if their situation 
has changed. Under 50 words.

Each of these takes 90 seconds to generate and 30 seconds to personalise. Five touches across 30 days. Every message drafted in the time it takes to make a coffee.
