To make the most of your appointment, please aim to arrive about 5 minutes early to complete a brief intake form.

If you need to reschedule or cancel, we ask for at least 24 hours notice where possible — you can reach us at [phone/email].

Save that prompt. You’ll use it hundreds of times — just updating the date, time, and name.

24-hour reminder — same scenario:

Write a 24-hour appointment reminder for the same physio clinic. 
Shorter than the confirmation — friendly, brief, just the essentials. 
Under 60 words. No need to repeat the cancellation policy in full.

Subject: Reminder: your appointment tomorrow at [Time]

Hi [Name], just a quick reminder about your appointment tomorrow at [Time] at [Address]. See you then — if anything has changed, give us a call at [phone]. Looking forward to it!

Once you have both templates saved, your booking confirmation workflow is done. Every new booking takes 30 seconds to personalise and send.


Section 2: Rescheduling Without the Awkwardness

Rescheduling messages are the ones most owners dread writing — especially when they’re the one initiating the change. The tone has to be apologetic without being grovelling, and the path forward has to be clear.

When you need to reschedule the client:

Write an email asking a client to reschedule an appointment because 
[reason: e.g., "a staff member is unavailable that day"]. 
Original booking was for [day, time]. I want to offer them 3 
alternative time slots. Tone: apologetic but professional, not over-explaining. 
Offer specific time options as placeholders. Under 90 words.

Subject: We need to reschedule — apologies for the inconvenience

Hi [Name],

I’m sorry to let you know that we need to reschedule your appointment on [original date] due to an unexpected staffing issue.

We’d love to get you in as soon as possible. Would any of these times work for you?

Apologies again for the inconvenience, and thank you for your understanding. [Your name]

When the client is rescheduling:

Write a gracious response to a client who has asked to reschedule 
their appointment. Confirm we can accommodate, offer [X] alternative 
time slot placeholders, and make them feel welcome not guilty. 
Under 70 words. No subject line needed — this is a reply.

The hardest part of these messages is the tone. AI consistently hits it right — apologetic without unnecessary grovelling, clear without being cold. You just fill in the time slots.


Section 3: Booking Page Copy

This is the most overlooked piece of scheduling copy — the text that lives on your Calendly page, your website contact form, or your booking confirmation screen. Badly written copy here loses enquiries before they even reach you.

The prompt:

Write copy for the booking confirmation page of a mobile dog grooming 
business in Melbourne. After someone books, this page should:
- Thank them for booking and confirm what they've chosen
- Set expectations for what happens next (we'll contact them 24 hours 
  before to confirm access to their property)
- Explain the cancellation policy (24 hours notice required)
- Tell them what to have ready (dog on lead, access to outdoor tap 
  if available)
- End warmly

Tone: friendly, casual, professional. Under 150 words.

Thanks so much for booking with us — we can’t wait to make [Dog’s Name] look and feel amazing!

What happens next: We’ll send you a confirmation SMS 24 hours before your appointment to confirm access details and timing.

On the day: Please have your dog on a lead when we arrive, and outdoor tap access is handy if available — but not essential, we’re fully self-contained.

Cancellations: If something comes up, we ask for 24 hours notice where possible. You can reach us anytime at [contact details].

This is set-and-forget copy. Write it once, update it quarterly. AI makes the quarterly update a five-minute job.


Section 4: Out-of-Office and Unavailability Notices

Usually written at midnight the night before you go on leave. Here’s a better approach.

Holiday closure notice (for socials and client emails):

Write a holiday closure notice for a [business type] in [city].

Tone: warm, appreciative, not corporate. Under 80 words.

After-hours email auto-reply:

Write an after-hours auto-reply for email. Business: [type]. 
Hours: [hours]. The message should acknowledge the email, 
let them know when we'll be back in touch, and provide an 
emergency contact option if applicable. Under 60 words.

Both of those take three minutes total. Do them now — before you need them.

  • Save the prompt in a Google Doc labelled by message type (“Appointment Confirmation,” “Rescheduling — We Initiate,” etc.)
  • Save the output as your base template with placeholders
