Script 1: Client Complaint Response (Within Your Control)

For situations where something went wrong on your end.

AI Prompt:

A client has sent me a complaint email. They're unhappy about 
[brief description of issue — something that was within our control].

Write a professional, empathetic response. Do not be defensive.
Acknowledge their frustration, apologise for the experience (not just 
"for any inconvenience"), and propose a clear next step to resolve it.

Tone: calm, professional, genuine. Under 150 words.

Script 2: Client Complaint Response (Outside Your Control)

For situations where the complaint involves a misunderstanding or something you couldn’t prevent.

misunderstanding of scope].

Write a professional response that acknowledges their frustration, 
explains the situation honestly without being defensive, and proposes

Script 3: Refund Request — Within Policy

For when the refund is legitimate and the policy supports it.
