How to Use AI to Digest Complex Documents Fast

A Practical Guide for Small Business Owners

Free guide from aibusinessaccelerator.au

Section 1: The 60-Second Document Summary Workflow

Step 1: Choose your tool

  • Under 6 pages → ChatGPT (chat.openai.com) or Claude (claude.ai)
  • 6+ pages → Claude (larger context window handles longer documents better)
  • Very sensitive content → Consider Lawpath’s AU-compliant AI document review

Step 2: Open a new chat session Start fresh for each document. Don’t mix document reviews in the same chat.

Step 3: Paste the document text Copy the full text from the PDF or Word document. Paste it directly into the chat window.

Step 4: Add your summary instruction Type your prompt immediately after the document text. Specify what you need to know.

Step 5: Read the summary critically Don’t treat AI output as gospel. If something in the summary surprises you, check the original text. AI occasionally misreads dense legal language.

Step 6: Ask follow-up questions Use the same chat session to probe specific clauses or ask for plain-English explanations of anything confusing.

Step 7: Note what needs human review Flag any clauses the AI marks as unusual, any sections involving significant money or liability, and anything with legal implications. These get a proper read — or a lawyer.

Section 3: The Safety Checklist — What to Paste, What Not to Paste

✅ Generally safe to paste into AI tools:

  • Your own supplier agreements and terms of service
  • Your own insurance policies
  • Meeting notes you wrote yourself
  • Government briefings and public documents
  • Industry reports and market research
  • Your own business contracts (before they’re signed and involve client data)

❌ Do not paste into free-tier public AI tools:

  • Client medical records or health information
  • Client financial data or tax information
  • Legal advice or privileged communications
  • Any document containing other people’s personal information
  • Documents you’ve signed NDAs about
  • Anything marked “confidential” that belongs to someone else

The rule of thumb: If the document contains information about you and your business, it’s generally fine. If it contains sensitive information about other people, keep it out or use an enterprise-grade tool.

Section 4: Claude vs. ChatGPT — Which Handles Long Documents Better?

ChatGPT (Free) ChatGPT Plus Claude (Free) Claude Pro
Context window ~8,000 words ~32,000 words ~100,000 words ~200,000 words
Best for Short documents under 5 pages Medium docs 5–15 pages Long docs up to 80 pages Very long docs, books, full contracts
Cost (AU$) Free ~$30/month Free (limited) ~$30/month

Practical recommendation:

  • Standard emails, short policies, 1–5 page documents: either tool, free tier fine
  • 6–20 page agreements, meeting minutes, insurance policies: Claude free tier
  • Very long contracts, full policy documents, multiple documents at once: Claude Pro

If a document is too long for the free tier, break it into sections and paste each section separately. Ask for a section summary. Then combine the summaries in a final prompt and ask for an overall summary.
