Build a Simple Client FAQ System Without Any Coding — Here's How

If you answer the same 10 questions every week — about your pricing, your process, your availability, what you include — you’re spending hours on work that could take minutes. Not because you need to build a chatbot. Not because you need to learn any software. Just because you haven’t yet written your answers down in the right format. Here’s the zero-code way to do it.


What This Actually Is

Before building anything: a clarification that will save you from overthinking it.

This is not a chatbot. No software to install. No code to write. No automation to set up.

It’s a saved response system — well-written answers to your most common questions, stored in a format that makes them fast to find and easy to use. Three different formats, depending on what suits your setup:

  1. A website FAQ page — answers visible publicly, 24 hours a day, searchable on Google
  2. Saved replies in your email — one click inserts a complete, polished answer into any email
  3. A live AI context prompt — paste a customer question to ChatGPT and get a tailored answer in 20 seconds

Start with whatever fits your current setup. Any of these saves you time this week.


Tier 1: The Website FAQ Page

The highest-leverage option. A properly formatted FAQ page does two things at once: it answers common questions for current clients and it ranks on Google for question-based searches.

When someone types “how much does a cleaner cost in Brisbane” or “what’s included in a bookkeeping package” into Google, they’re looking for exactly the content a good FAQ page provides. Google sometimes features FAQ content in the “People Also Ask” section — free traffic, without you doing anything more after publishing.

Step 1: Generate your question list

I run a [business type] in [city]. Write a list of 15 questions 
potential clients commonly ask before booking or buying.

Include questions about: pricing, process, timeline, what's included, 
geographic coverage, payment options, what makes us different, and 
any common concerns or hesitations.

The output: 15 questions your audience is actively searching for. Pick the 10 most relevant to your business.

Step 2: Write the answers

For each question, run this:

Write a clear, friendly answer to this FAQ for my [business type] website:

Question: [paste the question]

Key facts to include: [any specific details — price range, policy, 
timeline, geographic area]

Tone: professional but approachable. Under 80 words.

Ten answers at 2 minutes each: 20 minutes of work. The FAQ page that saves you hours of repetitive email every week, built in 20 minutes.

Step 3: Publish. Every major website builder — Squarespace, Wix, WordPress, Webflow — has an FAQ block or section template. Paste your 10 Q&As in. Done.


Tier 2: Saved Replies in Email

For businesses where most enquiries arrive by email — and where the FAQ page is useful, but you also need answers ready at the click of a button.

Both Gmail and Outlook support saved message templates. Once set up, inserting a template into a new email takes one click and 10 seconds.

Gmail — enabling Templates:

  1. Settings (gear icon) → See all settings → Advanced
  2. Enable Templates → Save changes
  3. To save a template: compose a new email, write your FAQ answer, click the three dots (More options) → Templates → Save draft as template

Outlook — Quick Parts:

  1. In a new email, type your FAQ answer
  2. Select all text → Insert tab → Quick Parts → Save Selection to Quick Part Gallery
  3. Name it (e.g., “FAQ — Pricing”) → Save
  4. To insert: Insert → Quick Parts → [select your saved reply]

Building the library:

Use the same FAQ answer prompt from Tier 1, but add a personalisation placeholder at the top:

Write a saved email reply for the FAQ: "[question]"
Start with "Hi [Name]," and include [Name] as a placeholder 
throughout where appropriate.
Tone: professional and warm. Under 100 words.

Once you have 10 saved templates, every FAQ email goes from 5–10 minutes of typing to 30 seconds of click, personalise first name, send.


Tier 3: Live AI FAQ Assistance

For when questions arrive by phone, via Instagram DM, at the counter, or in contexts where a saved email reply doesn’t fit.

The approach: a master context prompt. You create it once. When a question arrives, you open ChatGPT, paste the context, type the question, and get a tailored answer in under 20 seconds.

You are helping me answer customer enquiries for my [business type] 
in [city].

Here is key information about my business:
- Services offered: [list]
- Pricing: [range or "quote-based — factors include: X, Y, Z"]
- Service area: [suburbs or regions covered]
- Our process: [brief steps from enquiry to completion]
- Key differentiators: [2–3 things that make us different]
- Policies: [refund policy / cancellation / booking requirements]

When I paste a customer question, give me a professional, friendly 
answer I can send or say directly. Keep answers under 80 words unless 
the question requires more detail.

Save this as a text file or a pinned ChatGPT conversation. When a question arrives, open it, paste the question at the bottom, and send the response.

Especially useful for: staff members or virtual assistants who don’t know every answer yet. Give them the context prompt — they handle enquiries without needing to know everything about the business.


Going Further
