How to Write Professional Emails 10x Faster With ChatGPT

Not all emails are created equal. Some require deep context and personal history. Others are structural and repetitive — the same situation, different name. AI excels at the second category. Specifically:

- Tell it who you are and what your business does (one sentence)
- Tell it who you’re writing to and what the situation is (one sentence)
- Tell it the tone and length you want (one sentence)

Example 1: Follow-up on an Unanswered Quote
The prompt:
I run a landscaping business in Brisbane. I sent a quote to a residential
client for a backyard renovation 6 days ago and haven't heard back.
Write a follow-up email — friendly, not pushy, under 90 words.
Include a subject line.
The output:
Subject: Following up on your landscaping quote
Hi [Name],
Just following up on the quote I sent through last week — wanted to make sure it landed and that you had everything you needed to make a decision.
Happy to walk through the scope, adjust anything, or answer any questions you might have. No rush at all — just want to stay on your radar.

Review, add their actual name, hit send. Two minutes.
Example 2: Overdue Payment Reminder (Friendly First Contact)
The prompt:
I run a plumbing business in Melbourne. I have a client whose invoice
for $1,200 is now 10 days overdue. Write a friendly first payment reminder —
professional but not aggressive. Offer to discuss if there's an issue.
Under 100 words. Include a subject line.
The output:
Subject: Invoice #[number] — friendly reminder
Hi [Name],
Hope everything’s going well. I wanted to follow up on invoice #[number] for $1,200, sent on [date] — it looks like it’s still showing as outstanding on our end.
If there’s anything you need from us — a remittance address, an updated PDF, or if you’d like to discuss payment timing — just let me know and we’ll sort it.

That’s the tone that keeps the relationship intact while still getting paid.
Example 3: Responding to a Negative Review via Email
The prompt:
I run a café in Sydney. A customer emailed to complain that their order
was wrong and the staff member who served them was rude. Write an empathetic
email response — acknowledge the issue, apologise genuinely, offer to make
it right. Not defensive. Under 120 words. Include a subject line.
The output:
Subject: We’re sorry — and we want to make it right
Hi [Name],
Thank you for taking the time to let us know. I’m genuinely sorry that your experience wasn’t what it should have been — getting an order wrong and encountering a poor interaction with our team is completely unacceptable, and I understand why you’re frustrated.
I’ve shared your feedback directly with the team. This kind of thing doesn’t happen often, but once is too many.
I’d love to have the chance to make it up to you — I’ll leave a voucher here for you to come back on us.

Power Moves for Regular Users
Batch your emails. If you have five follow-ups to send, paste them all into one session: “Here are 3 client situations. Draft a professional follow-up email for each.” ChatGPT handles all three at once. You review and personalise in 10 minutes instead of 45.
Reuse your best prompts. When a prompt produces an email you’re really happy with, save that exact prompt in a Google Doc. Label it by email type. That’s your email template library — and it gets more valuable every week.
Set your default tone. Start every email session with: “I run a [business type]. My communication style is [warm, direct, professional — no corporate language]. Keep all emails consistent with this.” Paste this once per session and every email comes back in your voice.
The subject line trick. After generating the body, ask for options: “Give me 5 subject line options — a mix of direct and curiosity-based.” Subject lines are often the hardest line to write. AI generates five in 10 seconds; you pick the best.
What AI Can’t Do
AI doesn’t know your client relationship history. It doesn’t know that this particular client is also a personal friend, or that the overdue invoice is related to a disputed job. Always read the output with that context in mind.
You’re still the author. AI produces a draft. You read it, add personal details, check the facts, adjust the tone if needed, and send. The review takes 60 seconds. Don’t skip it.
Keep sensitive information out of free-tier tools. Avoid pasting genuinely confidential client information into a free ChatGPT account. For anything sensitive, use private or enterprise-grade AI tools, or keep it out entirely.
Think of ChatGPT as a first draft. The email that goes out is still yours.
